Seats & billing
How pricing works
Assistant is billed per seat, monthly or yearly. The first 50 seats follow a tapered curve — the more you add, the cheaper each additional seat gets. Seats 51+ are flat $1/seat.

Yearly billing gets 10% off.
Free trial
Every new account gets a 60-day free trial with all features unlocked. No credit card required to start. You can set up billing at any point during or after the trial.
After the trial ends without a subscription, your account enters a 10-day grace period (still full access). After that, paid features lock and team members see a billing CTA — but all your data stays intact and admins can reactivate by subscribing.
Who pays?
One Basecamp admin per connected account purchases seats. Admins:
- Always have access, even if the subscription lapses, so they can update billing.
- Assign seats to team members from Settings → Seats.
- Can set whether new members need approval or get a seat automatically.
Inviting team members
- Open Settings → Seats in the Assistant web app.
- Either invite by email, or share the connection link.
- Invitees sign in with their Basecamp account and you approve their seat.
Request access (Figma-style)
Team members who open a Basecamp project without a seat see a Request access prompt on the Kanban page. One click sends a request to the admin, who can approve in the Seats page.
Changing seats
- Add seats: adjust the slider on Settings → Billing. Stripe prorates the difference for the current period.
- Remove seats: same slider, drag down. Change takes effect at the end of the current billing period (no mid-cycle refunds).
Cancelling
Open Settings → Billing → Cancel subscription. Cancellation takes effect at the end of your current period. Your team keeps read-only access to existing tags, statuses, and fields.
